Introduction 
Hosting a Golf Tournament or corporate outing at Rhodes Ranch Golf Club can be an excellent way to treat friends, business colleagues, or customers to a great day of fun and competition.  Charities have also found that golf tournaments at Rhodes Ranch are an excellent way to raise funds, awareness, and support for their organizations. 
 
This guide has been developed to help you successfully plan your event and make certain that no details have been overlooked.  Our professional staff will assist you in all aspects of your golf outing including format, rules, registration, course set-up, food and beverage, merchandise, administration, contests, scoring, and prizes.  Please read through this guide.  If you would like more detailed information on any aspect of hosting a golf tournament or corporate outing, a member of our professional staff will be happy to share with you our experience and ideas on successfully hosting an event. 
 
Glossary of Common Terms 
Shotgun Start- Each foursome begins at the same time on different holes.  This format can accommodate up to 144 players.  This is the most popular starting format because it allows players to begin and end at approximately the same time. 
 
Reverse or Modified Shotgun- For groups with fewer than 144 players, this starting format also starts the players at the same time on different holes, but only uses the required number of holes to accommodate your group
 
Straight Tee Times- Each foursome begins play from the # 1 tee in 10-miniute intervals.  Not recommended for larger groups or groups that have planned activities after play.
 
Scramble- Each player in the foursome tees off, the best position is determined and each player then plays a shot from that position.  This is continued until the ball is holed.  A scramble is the most popular format because it allows players of varied abilities to compete and contribute.  A great format to assist with the pace of play.
 
Best Ball- Each player in the foursome must play his or her own ball to the completion of each hole.  The lowest score on each hole is recorded as a team score.  The individual handicaps are usually required to make this format equitable and competitive.
 
Shamble- A combination of a scramble and a best ball.  Each player in the foursome tees off, the best position is determined and then each player plays his or her own ball to the competition of the hole.  The lowest score on each hole is recorded as a team score.
 
Scorecard Playoff- In the case of a tie, the winner is determined by comparing scores between the teams or players that are tied, starting with the # 1 handicap hole, and then the #2 handicap hole and so on until the tie is broken. 
 
Longest Drive- A contest on a designated par 4 or par 5 to determine the longest drive, in the fairway, on that particular hole.  A proximity marker is placed on the fairway.  When a player hits beyond that current position of the marker, the marker is then moved to the point of the new longest drive and that players name is recorded on the marker.  The final name recorded on the proximity marker is the winner of the Longest Drive competition.  It is recommended to have a separate contest for men and women. 
 
Closest to the Pin- A contest on a designated par 3 to determine the closest tee shot to the flagstick on that particular hole.  A proximity marker is placed on the green.  When a player hits nearer than the current position of the marker, the marker is then moved to that point and the players name is recorded on the marker.  The final name recorded on the proximity marker is the winner of the Closest to the Pin competition.  This is a great competition to have on multiple par 3 holes.

Food and Beverage 
The food service that you provide for your players and guests is a major part of their overall outing experience.  It can be as simple or as elegant as you wish.  Rhodes Ranch Golf Club offers an extensive Event Menu featuring breakfast, box lunch, lunch buffets, and dinner with a variety of pricing options.  Rhodes Ranch Golf Club also features a full service bar with all of your favorites.
 
Our on-course food and beverage services include well-stocked refreshment carts.  Enjoy a wide variety of snacks, cold sandwiches, cold drinks, beer, and wine.  Purchases may be placed on a master account based on consumption, with pre-arranged drink vouchers or on an individual basis.   Our BBQ can provide an awesome Hot food option as well. (seasonal)

Policies and Procedures 
We want your event at Rhodes Ranch to be fun and stress free.  We have developed a simple set of policies and procedures to ensure safety, prevent common misunderstandings and maximize the enjoyment of your guests and our other players at Rhodes Ranch on the day of your event.
 
Reservations- Reservations for groups of 20 players or more may be made up to 4 months in advance with a signed contract and a $500 deposit, not to exceed $1000.  Your deposit is fully refundable up to 30 days prior to your event.  Inside 30 days, if your event is cancelled, the deposit may be applied to a future date at Rhodes Ranch Golf Club within one year.
 
Outings may be scheduled at anytime, space available, 7 days a week.  Shotgun starts are required to have an early morning or a mid afternoon starting time.  Course buyouts are permitted at Rhodes Ranch and would allow your event to enjoy the course exclusively and at your leisure. 
 
Final Payment and Player Count- 14 days prior to your event, a final player count will be requested along with payment for the balance of the greens fees based on that player count.  Inside the 14-day deadline, we cannot guarantee availability to increase your count and any reductions in players will only receive credit on the day of play, based on space that was filled by outside play.
 
Food, Beverage, and Alcohol- Rhodes Ranch Golf Club does not permit guest to bring food, beverages or coolers onto the golf course or into the clubhouse area. 
 
Donated Items- A host group or charity may secure an event sponsor to pay for food and beverage purchases at Rhodes Ranch.  If that sponsor would like to donate food or beverage product, Rhodes Ranch will charge a $4.00 per person service charge for food donations and a $4.00 per person service charge for beverage donations.  All donations must comply with local, state, and federal laws.
 
Gift Certificates and Prizes- A group or person scheduling an event at Rhodes Ranch Golf Club agrees to purchase all tournament prizes and certificates from Rhodes Ranch.  A member of our staff is always available to assist with prize selection and gift certificate needs.
 
Dress Code- Rhodes Ranch Golf Club requests that all participants wear standard golf attire, which includes pants, slacks, hemmed shorts and collared shirts.  Shirts and shoes must be worn at all times.  Prohibited clothing includes: denim jeans, cut-offs, gym shorts, tank tops, halter-tops, and swimwear.  Rhodes Ranch Golf Club IS A SOFT SPIKE ONLY FACILITY.
 
Inclement Weather Policy- Play may be cancelled or suspended due to inclement weather that renders the course unplayable or a hazard to the well being of players.  Players should be asked to come to the golf course.  Before the schedule start, our Golf Course Superintendent and Golf Professional will make a determination of playability.  If the event can be played in reasonable comfort and utmost safety, it will be played.  If deemed unplayable, an alternate date will be discussed or rain checks will be issued.  There will be no refunds. (Wind is not considered inclement weather.)
 
Golf Course Maintenance 
A golf course is a living, changing environment that requires continuous care in order to maintain optimal playing conditions.  Some activities, such as watering and mowing, need to be done daily.  Most of our work can be accomplished in the early morning hours, however due to weather conditions and other factors, some activity may take place throughout the day.  Our staff is trained to be as unobtrusive as possible so that players may still enjoy their round to the fullest.  Our golf course maintenance staff truly appreciates your understanding and cooperation with regard to their work.
 
Pace of Play 
Pace of Play, or more specifically “SLOW PLAY”, is often a concern at most golf courses.  Choose a format, such as a Scramble, that allows everyone to participate and also encourages a shorter time spent on the course.  Rhodes Ranch offers 4 sets of tees on each hole, targeted to accommodate players of varied abilities.  Selecting the proper set of tees will make the day more enjoyable and assist you in getting everyone around in a timely fashion.  Slow play can affect the enjoyment level of your players and the scheduling of award and banquet activities, but it also affects players that are playing Rhodes Ranch after your event has finished.
 
Our player hosts will be with your event throughout the day to assist with play and help make the day more enjoyable.
  
Rules and Regulations 
  • Golf Carts are mandatory for all group and tournament play.
  • Fivesomes are not permitted unless approved by the General Manager.
  • Each participant must have his or her own golf bag and clubs.
  • Practice is confined to designated areas, driving range, and practice greens.
  • No one under 18 years of age will be permitted to operate a golf cart. 
  • No more than two riders and two golf bags per cart will be allowed.
  • Please replace and repair divots, repair ball marks and rake bunkers.
  • Please follow all directional signs and directions from our player hosts.
  • No outside coolers or beverages. 
Event Planning Check List
 
Every successful event is the result of careful planning and organization.  Using this checklist will give you some guidelines and help keep you on schedule and assure that nothing important is forgotten or overlooked.
 
1.  Choose your chairperson or members of your planning committee.
2.  Assign specific roles to your assistants or planning committee members.
3.  Select a date for your event and confirm with your signed contract and paid deposit.
4.  Select the proper format for your event.
5.  Plan what food and beverage service you will offer your guests.
6.  Decide on any special events or contests for your event.
7.  Order awards and prizes along with any personalized or logo merchandise you’re going to need.
8.  Set an entry fee
9.  Set a dead line no later than three weeks before your event date for your entries to be turned in.
10.  Print invitations/flyers for participation and distribute.  Begin to fill your teams.
11.  Review the progress of your event with your committee and your Rhodes Ranch Golf Club Tournament Coordinator. 
 
2 weeks from your event
1.  Finalize your list of players.  Contact your Rhodes Ranch Golf Club Tournament Coordinator with your final count for golf and food services. 
 
2 Days from your event
1.  Turn in your final pairings list to your Rhodes Ranch Golf Club Tournament Coordinator so that player rosters, cart labels, and scorecards can be made.
 
The Day of your event
1.  Arrive early and meet with your Tournament Coordinator to review the services you have selected.
2.  Organize your registration table.
3.  Place tee signs and banners
4.  Be prepared for last minute changes
5.  Greet and check in your players and guests
6.  After all scores have been tallied, announce the winners and hand out awards and prizes.
7.  Pay your final bill
